Artificial intelligence in office work

How can you make AI an everyday work assistant that helps you complete tasks faster, more systematically and effectively? Do you already use ChatGPT for work tasks, but still start every new task from an empty chat window? Or are you just getting acquainted with AI and would like to learn how to use it better in your daily work?

In this practical workshop, you’ll learn to create an AI-powered work assistant that understands the context of your tasks, follows given instructions and can use relevant materials. The workshop focuses on ChatGPT’s Projects feature, which lets you bring together work instructions, background information and conversations in one place. That way, you don’t have to explain everything from scratch for each new task.

Workshop topics

AI as an everyday work assistant: how to use AI to simplify office work and handle recurring tasks.

A regular chat or an AI project? What’s the difference, and when should you use each?

Creating your own AI project: how to set up a workspace in ChatGPT for handling different work tasks.

Giving instructions to AI: how to define the assistant’s role, working principles and desired output format.

Using background materials: how to add documents and other relevant information to a project so that the AI can draw on them.

Practical AI techniques for office work: meeting summaries, action plans, documents and professional emails.

Quality control and data protection: how to spot possible errors and use AI responsibly.

Practical exercise

During the workshop, each participant will create their own AI project—a personal office-work assistant—with the instructor’s guidance. Step by step, we will:

- Create an AI project and define its tasks.
- Write instructions for how the assistant should work.
- Add sample materials to the project.
- Use AI to prepare a meeting summary.
- Create an action plan and follow-up email based on the summary.
- Check the results and learn how to refine and improve them when needed.

The exercises use sample materials prepared by the trainer. Participants who work more quickly can try additional tasks and adapt their assistant to their own work needs.

By the end of the workshop, participants will:

- Understand how AI projects can make everyday office work more systematic.
- Be able to create a simple AI project in ChatGPT and write the necessary instructions for it.
- Be able to add and use background materials.
- Be able to use AI to prepare meeting summaries, action plans and drafts of work-related emails.
- Be able to assess the quality of AI-generated results and improve them.
- Be familiar with the main limitations of using AI and the principles of data protection.

Target audience: office workers, office and administrative professionals, assistants, coordinators and others in knowledge-based roles who want to use AI more effectively in their daily work. The workshop is suitable for participants with at least some experience using ChatGPT or another AI chat assistant. Previous experience creating AI projects is not required.

Learning methods: short theoretical explanations, instructor demonstrations, practical exercises, independent experimentation and discussion.

Duration: 4 academic hours (180 minutes of learning time).

Format: in-person.

Please bring: a laptop and access to your personal ChatGPT account. We recommend checking before the workshop that you can sign in to your account. Practical exercises can also be completed with a free account, subject to possible usage limits.

The workshop will be led by Viivika Vahi.

Viivika Vahi is an entrepreneur, trainer and mentor with more than ten years of experience in adult education. She holds an international MBA from EBS in business innovation and a Level 6 professional qualification as an adult educator.
